Statement on the confidentiality of personal data

Look Up Yönetim Danışmanlığı Limited Şirketi (“Lookup”) has adopted the following rules to ensure the confidentiality of the personal data of job applicants. In this context, we would like to provide you information on Law No. 6698 on the Protection of Personal Data (“KVKK”). By posting a job application on www.lookuphr.com, you agree to the following principles.
In accordance with this notification, we may process identity information, communication details, reference entries, online test assessments obtained from third parties, information on family members and relatives, photographs, information on your education, hobbies and social activities, data on criminal records and security measures, information about physical appearance and memberships in associations, foundations and labor unions and similar personal data which you may have shared as part of your job application or may have publicly disclosed.
1) Notification Obligation
Personal data shared with LookUp shall remain under the supervision and control of Lookup. In its capacity as the data controller, Lookup is responsible for establishing the necessary organization, to take the necessary technical measures and to perform the necessary adaptations to protect the confidentiality and integrity of your personal data in accordance with applicable legislation. In this context, the necessary technical and legal measures are being taken to prevent infringements during the transfer of data to third parties. However, LookUp may not in any way be held liable for the data protection policies of the third parties who receive your personal data.
2) Legal Basis and Rationale for Collecting Personal Data
Various laws contain provisions regarding the use of applicants’ personal data. Principles governing the processing and transfer of personal data are primarily regulated in the Constitution of the Republic of Turkey and the KVKK. Also the Turkish Criminal Code numbered 5237 contains certain criminal sanctions to protect personal data.
3) Scope and Purpose of Data Use
As the data controller, Lookup may record, store, update, and process personal data in order to fulfill its legal obligations. Data may be shared with licensed employment agencies, technology service partners supporting job applications on our website, and domestic or international cloud service providers engaged by those partners. Processing may also include classification and lawful transfer as outlined in the KVKK. Sharing personal data with third parties generally requires applicant consent and is not performed without it, except in cases where Lookup is legally required to share data with governmental or judicial authorities. For participants in trainings or events organized by Lookup, personal data (such as name, contact information, education background, and professional details) will be collected and used solely for the purpose of event logistics, communication, sending Zoom/Slack invitations, confirming attendance, and distributing educational materials. Your information may be shared with domestic and international third-party service providers (e.g., Zoom, Slack, Google Forms) for these purposes.
4) Use Cases for Personal Data
Your personal data may be used for the following purposes:

To evaluate your suitability for a position at Lookup,

To make a job offer and execute an employment contract,

To fulfill Lookup’s legal obligations under applicable regulations,

To provide information to public authorities in matters of national security,

To improve the candidate experience and support the training and development of the recruitment team.
(Interviews conducted by the Lookup recruitment team may be recorded for internal training and quality improvement purposes only. These recordings will not be shared externally, and participant confidentiality is maintained to the highest standard.)
5) Your Rights Under Article 11 of the KVKK
According to Article 11 of the KVKK, data subjects (applicants) have the right to:
a) Learn whether their personal data is being processed,
b) Request information regarding such processing,
c) Learn the purpose of processing and whether it is being used appropriately,
ç) Know the local and international third parties to whom the data has been transferred,
d) Request correction of any incomplete or inaccurate data,
e) Request deletion or destruction of personal data as per Article 7,
f) Request that third parties to whom data has been transferred be informed of any corrections or deletions,
g) Object to negative consequences resulting from automated data analysis,
h) Request compensation for damages caused by unlawful data processing.
